Receptionist -Casual/On Call
Lu’ma Native Housing Society is seeking to fill the position of Receptionist on a Casual / On Call basis to provide coverage for vacation and other leaves at our corporate office, located at 2960 Nanaimo Street in Vancouver. Office hours are 8:30 am until 4:30 pm; Mondays through Fridays.
Position Summary:
Under the direct supervision of the Executive Director, the Receptionist is the first point of contact for visitors, applicants, and tenants. The receptionist is responsible for providing professional front-line service, managing incoming and outgoing correspondence, maintaining accurate records, and supporting administrative operations to ensure smooth day-to-day functioning of the office.
Key Responsibilities:
· Front Desk Reception
· Greet and assist applicants, tenants, and visitors in a courteous and professional manner
· Answer incoming calls and direct them to the appropriate staff member or department.
· Provide basic information and assistance to walk-in clients as required.
Mail and Correspondence Management:
· Log all incoming and outgoing mail in accordance with established procedures.
· Distribute mail to the appropriate recipients in a timely manner
Administrative Support:
· Enter applications and related data into the organization’s database accurately and promptly.
· Maintain and update records, files, and documents as directed.
· Assist with scheduling appointments, meetings, and other office activities as needed.
Customer Service
· Respond to inquiries from tenants and applicants, redirecting complex matters to appropriate staff
· Maintain confidentiality and professionalism in all interactions.
Qualifications/Skills and Abilities:
High school diploma or equivalent; post-secondary training in office administration;
Strong interpersonal skills;
Excellent English communication skills, both verbal and written;
Proficient in Microsoft Office Suite and comfortable learning new software systems;
Attention to detail with strong organizational skills;
Ability to work effectively in a busy, multi-tasking environment;
Position is subject to a Vulnerable Sector Criminal Records review.
Working Conditions:
Office environment with regular interaction with the public.
May require occasional lifting of office supplies or files (up to 20 lbs).
· Onsite and in person; weekdays from 8:30 am to 4:30 pm, as required.
Hours and Remuneration:
• Casual/ On Call position, 8 hours per day with a 1 hour unpaid meal break; 8:30 am until 4:30 am; On Call for Casual shifts Mondays through Fridays.
• Wage $34.38 per hour plus 18% in lieu of Statutory and Lu’ma Paid holidays, Benefits, and RRSP and Vacation. Sick leave awarded on a pro rata basis. Wage inclusive of in lieu amount is $40.57 per hour.
