Lu’ma Native Housing Society is seeking to fill the position of Designated Community Advisory Board Coordinator on a Permanent Full-Time at our North Shore corporate office, located at 1010-100 Park Royal in West Vancouver. Office hours are 8:30 a.m. until 4:30 p.m. ; Mondays through Fridays.
Position Summary:
Under the direct supervision of the Director of the Designated Community Entity, the Designated CAB Coordinator ensures smooth communication and helps advance the goals of the organization by fostering partnerships and maintaining organized systems. The DCAB Coordinator plays a key role in supporting the work of the Designated Community Advisory Board (DCAB). This includes coordinating meetings, organizing documents, sharing updates, and assisting in community projects.
Key Responsibilities:
Project and Contract Administration:
· Organize and manage Designated Funding Stream agreements, contracts, and essential documents to ensure everything is accurate, compliant, and easy to access;
· Coordinate with partners to collect required updates and submissions, ensuring projects stay on track;
· Use templates and checklists to maintain consistency and efficiency in managing documentation.
Program Support and Information Coordination:
· Provide support to partners by sharing updates, resources, and reminders about program requirements and deadlines;
· Prepare summaries and reports that highlight key information for management and decision-makers;
· Work with stakeholders to promote clear and effective information-sharing practices.
Meeting and Event Coordination:
· Plan and coordinate all aspects of DCAB meetings and events, including agendas, materials, minutes, and follow-ups;
· Track and document action items to ensure accountability and proper communication across the board.
Strategic Administrative Support:
· Provide updates and recommendations to the Director regarding progress, challenges, and opportunities within CAB activities:
· Identify ways to improve administrative processes to promote efficiency and innovation;
· Build positive relationships with community members and organizations to strengthen collaboration.
Qualifications/Skills and Abilities:
· Bachelor’s degree or equivalent experience in Community Development, Public Administration, or a related field, or equivalent experience;
· Experience in program coordination, community engagement, or administrative support, ideally in a team environment;
· Strong organizational and communication skills, including the ability to coordinate multiple tasks and prepare reports or summaries;
· Proficiency in Microsoft Office Suite and other tools for scheduling, record-keeping, and project management ;
· Strong interpersonal skills, with the ability to build trust and teamwork among diverse groups;
· Self-motivated, flexible, and able to manage multiple priorities;
· Position is subject to a Criminal Record Review.
Working Conditions:
Office environment with regular interaction with the public.
May require occasional lifting of office supplies or files (up to 20 lbs).
· Onsite and in person; weekdays from 8:30 a.m. to 4:30 p.m., as required.
Hours and Remuneration:
• Permanent Full-Time position, Monday to Friday; 8:30 a.m. until 4:30 p.m. ; with a 1-hour un paid lunch break.
• Salary is $73, 894.40 per annum including Statutory and Lu’ma Paid holidays. Mandatory enrollment into the Employer paid Benefits Plans and Programs, and PSPP after a 90-day disqualification period. Vacation is 6% of gross earnings and is accessible after 1 year of employment. Sick and other Paid leaves awarded on a pro rata basis.
